Seller Fellow is operated by ZENFIELD LTD, registered in Cyprus under number HE 464757, at Gladstonos 12-14, 8046 Paphos, Cyprus (“we”, “us”). We are the controller of the personal data described here. Contact: info@sellerfellow.com.
Seller Fellow is for businesses. Most of what we handle is business data about your Amazon store. This policy covers the personal data involved, and also explains what we do with the business data, because you should know.
1. What we collect
Your account
- Your name, email address and password. The password is stored only as a one-way hash, never in readable form.
- Sign-in sessions: when you sign in we record the session, your IP address and your browser type, to keep you signed in and to spot misuse.
- Password resets: if you ask to reset your password, we email you a link that works for one hour.
Billing
- Your plan’s status, the number of Amazon accounts billed, billing dates, and Stripe’s reference for you. Your card and billing details are collected and held by Stripe on Stripe’s own pages; they never reach us.
Your Amazon connection
- What you call the Amazon account, Amazon’s seller ID for it, the marketplaces it sells in and its currency.
- The key Amazon gives us to access your account, stored encrypted, and which permissions you granted.
Amazon business data
- When your AI assistant asks, we fetch business figures from Amazon on your behalf (for example sales, fees, advertising spend, stock, listings, returns and pricing) and pass the result to your assistant. We keep a copy only briefly, to answer follow-up questions faster (see section 5).
Your AI assistant connections
- Which assistants you have connected, the permissions you approved for each, and the access keys issued to them.
Record of changes
- When you confirm a change in your Amazon account, we record what was requested, which Amazon account, which assistant asked, and the outcome.
2. Your buyers’ information
We do not ask Amazon for buyers’ names, addresses, email addresses or phone numbers, and never receive them.
- When you ask your assistant to send Amazon’s review requests, we handle the Amazon order numbers involved. They are kept for 15 minutes while you decide, and in the record of changes. They are never shown to your assistant. Amazon, not us, sends the request.
- Some Amazon reports contain buyers’ written comments or order numbers. We discard those as the report is read and never store them.
3. Why we use it, and our legal basis
- Providing Seller Fellow (your account, connections, answering your assistant, making changes you confirm): contract with you.
- Billing: contract, and our legal obligation to keep accounting records.
- Keeping the service secure and preventing misuse: our legitimate interests.
- Emails about your account, billing or changes to these terms: contract and our legitimate interests.
We do not sell your data, use it for advertising, or use Amazon data to train AI models.
4. Who receives it
- Your AI assistant. When your assistant asks, we send it the answer. It is provided by its own company (for example Anthropic for Claude, OpenAI for ChatGPT, xAI for Grok) under your own agreement with them, and their privacy policy applies to what they receive. You choose which assistant to connect and can disconnect it at any time.
- Amazon. We send requests to Amazon on your behalf, using the access you approved.
- Service providers who process data for us under contract: Vercel (website hosting), Neon (database), Stripe (payments) and Google Workspace (our email, including account emails such as password resets).
- Anyone we are legally required to share it with.
Where your data is processed. Our website and database run in the European Union (Frankfurt, Germany). Stripe and Google may process some data in the United States; where they do, they rely on recognised safeguards such as the EU Standard Contractual Clauses and the UK addendum to them.
5. How long we keep it
- Amazon figures fetched for your assistant: 30 minutes.
- Amazon reports (for example returns): up to 6 hours.
- Changes previewed but not confirmed: usable for 15 minutes, deleted within a day.
- Password reset links: one hour.
- Record of changes made in Amazon: until you delete your account.
- Account, connection and billing status: until you delete your account.
- Billing and accounting records held by Stripe: as long as the law requires.
Expired data is deleted automatically every day.
6. Deleting your data
- Disconnecting an Amazon account (on your account page) cancels our access at Amazon and deletes the stored key and every cached Amazon figure for that account. Its name and the record of changes made in it stay until you delete your Seller Fellow account.
- Deleting your Seller Fellow account (on your account page, with your password) cancels your plan straight away, cancels our access at Amazon, and deletes your account and everything we hold about it.
- You can also withdraw Seller Fellow’s access at any time in Amazon Seller Central.
7. Cookies
We only use the cookies that keep you signed in. They are necessary for the service. We do not use analytics or advertising cookies.
8. Your rights
Under data protection law (the EU GDPR, and the UK GDPR for customers in the UK) you can ask to access, correct, delete or receive a copy of your personal data, and object to or restrict how we use it. Email info@sellerfellow.com; we reply within one month. You can also complain to the Cyprus Commissioner for Personal Data Protection (dataprotection.gov.cy) or, in the UK, the Information Commissioner’s Office (ico.org.uk).
9. Changes
We will email you about significant changes to this policy before they apply.
